How do I manage a lineup?
Manual lineups, inviting and managing performer spots, and the green room for show-day communication.
Everything to do with who performs at your event lives on the event's Manage page, split across the Manage Spots, Lineup and Green Room tabs. This guide covers all three.
Manual lineups
With Auto Lineup turned off you control the lineup directly on the Lineup tab.
- Search for a performer In Add Performer to Lineup, start typing a name. Matches appear as you type, with your frequent performers shown by default.
- Add them Click Add next to a performer to drop them straight into the lineup. (Adding here is a shortcut that skips the spot invitation process.)
- Tidy up Use Remove to take someone off the lineup, or Copy to Lineup to pull all confirmed performers in at once.
In auto lineup mode the lineup is read-only: it always mirrors the performers whose spots are confirmed, so you manage it from the Manage Spots tab instead.
Spot invitations & management
A spot is a slot for one performer. You create and track spots on the Manage Spots tab; performers track theirs under Perform → Spots.
Inviting performers
- Add a spot Click Add Spot, then search and multi-select the performers you want and confirm with Create Spots. They'll receive an invited spot.
- Invite someone new Not on Spotagig yet? Use Invite New Performer to create their profile and invite them. If you add their email they get an invitation; if not, you get a claim link to share yourself.
- Let performers come to you If the event is Open to all performers, performers can hit Perform on the event to apply — their spot arrives as requested. Performers find open events with the Open for me filter.
Managing each spot
Every spot moves through a clear set of statuses:
- Pending / Requested — a performer applied or is awaiting action.
- Invited — you've invited them and are waiting for them to confirm.
- Confirmed — they're locked in (and appear in the auto lineup).
- Rejected / Withdrawn / Drop out / Cancelled — the spot didn't go ahead.
From each spot you can Invite / Re-invite, Re-request, Reject (optionally with a note), Message the performer, share an Invite Link, or Delete the spot. Message All contacts everyone at once.
On their side, performers use Confirm, Withdraw or Drop Out from their spots page.
Green room & communications
The green room is a shared message board for everyone involved in a show — the confirmed lineup plus the event's producers/managers. It's the place for set times, tech notes and last-minute updates.
- Open the green room Go to the Green Room tab on the event's manage page, or the green room section on the event page. The badge shows how many messages have been posted.
- Post a message Type into Your message and post. If you manage more than one profile, pick which one you're posting as with Send as.
- Everyone gets notified New messages email the rest of the green room with a link straight back to the conversation, so nobody misses an update.
Each event also has its own green room email address (shown in the green room) for future external posting, and you can message performers directly from their spots at any time.
