Attendees & door check-in

See who is coming to a show, filter and export the list, and scan tickets at the door with your phone.

Every ticket sold or reserved through Spotagig lands on the event's Attendees tab — your guest list for the door.

Spotagig sales only This list covers tickets sold through Spotagig's own checkout. Tickets sold on Eventbrite or Fienta stay on those platforms — check their dashboards for those buyers.

Opening the list

Open the show's Manage page and pick the Attendees tab. If you haven't attached any ticket tiers yet, the tab tells you so — there's nothing to sell and therefore nobody to list.

Reading the list

Tier totals at the top gives you the count per tier — the quickest answer to "how many are we expecting?". Below it, every attendee has a row:

  • Name and Email — the details given at checkout.
  • Tier — what they bought.
  • Order — groups attendees who came in on one purchase, so a party of four stays together.
  • Paid/Free — a paid ticket or a free reservation.
  • Status — where the ticket stands.
  • Purchased — when they booked.
  • Check-inChecked in once they've arrived.

Use the Tier and Status filters to narrow things down — All tiers and All statuses by default — then Filter, or Clear to start over.

Taking the list with you

Export the attendee list as a CSV to print a door sheet or share it with whoever is working the entrance. Most nights the phone scanner below is quicker, but a printed list is a good backup for a venue with no signal.

Attendee details are personal data Names and email addresses are your attendees' personal data. Use them to run the show; if you want to email these people later, ask them to join your mailing list rather than reusing the door list.

Check-in on the door

Every ticket carries a QR code, and Spotagig gives you a phone scanner to admit people with. No app to install — it runs in your phone's browser.

  1. Open the scanner On the show's Attendees tab, hit Door check-in. It opens in its own tab, so leave it up at the door for the night and keep the manage page for yourself.
  2. Point the camera at the ticket The scanner sits on Ready to scan and reads the QR code as guests hold it up — on their phone or printed. There's nothing to press between guests.
  3. Read the colour, wave them through Each scan gives you a big result with a sound and a buzz, so you're not squinting at a screen in the dark.

Three things can come back:

  • Admitted (green) — they're in.
  • Already checked in (amber) — that ticket has been scanned before. Usually a double-scan; occasionally a ticket doing the rounds.
  • Red — the ticket can't be admitted, with the reason shown.

A running checked-in vs. expected count sits on screen, so you always know how many are in the room and how many you're still waiting on.

When the camera won't play

Under Can't scan? you can search the guest list by name or email and admit someone with Check in — the answer for a cracked screen, a lost phone, or a QR code that simply won't read. Anyone already admitted shows Re-check instead.

Search names, not ticket codes The search box is for names and email addresses. Don't type or paste the QR code into it — that's not what it looks up, and it won't find anybody.
Who can work the door Anyone who can edit the event sees the Door check-in button — so a manager on your team or a co-producer can run the door without you handing over your account. See sharing a profile with your team.

Everything the door does flows straight back to the attendee list: admitted guests show Checked in there, so you can watch the room fill from wherever you are. After the show, the list stays as the final door record for the event.
